APPLICATION & REGISTRATION PROCESS

​

How to Apply
Please follow the steps below:
    1.    Submit an abstract in Word format to avrasyazirvesi@gmail.com by August 8, 2025. Spaces are limited, so we recommend applying early to avoid delays.
   •    If submitting in Turkish, an English abstract is mandatory. (See format guidelines below.)
   •    Indicate your preference for in-person participation during abstract submission.
   2.    Abstract acceptance typically takes 2–4 days. You will be notified by email once your abstract is accepted.
   3.    Pay the registration fee to the congress account and send the payment receipt to our email by August 12, 2025.
   •    You don’t need to pay for accompanying family members or colleagues if they’re not presenting, even if they attend and use travel/accommodation packages.
   •    Account details will be sent to accepted participants.
   4.    Pay for the Travel & Accommodation Package directly to the travel agency’s account and send the receipt to the congress email. Details are provided below.
   5.    Full paper submission is optional. Only abstracts will be published in the ISBN‑registered proceedings.
   •    If you wish to publish the full paper, submit it by 5:00 PM on September 3, 2025, to avrasyazirvesi@gmail.com.
   •    Full papers will not be accepted after this deadline.
   •    Include a similarity report; similarity must be below 30%.
   6.    Congress proceedings will be published with ISBN and available on our website by September 27, 2025.

📐 ABSTRACT GUIDELINES
    1.    Abstracts should be 200–300 words.
   2.    If presenting in Turkish, include an English abstract.
   3.    Provide at least three keywords.
   4.    Use Times New Roman, 12 pt.
   5.    Title should be ALL CAPS.
   6.    Below the title, list affiliation info: academic title, full name, university, ORCID, email, and phone number. (Emails and phone numbers will be removed before publication.)

📄 FULL PAPER GUIDELINES
    1.    Minimum 4 pages.
   2.    Include: Abstract, Introduction, Main Body, Conclusion & Discussion, References.
   3.    Similarity must be below 30%.
   4.    Full papers must follow the abstract guidelines (#6) above.

⚠️ IMPORTANT NOTES
    •    Please include your ORCID with abstracts and full papers.
   •    English abstract submission is mandatory.

🗣️ PRESENTATIONS
    •    In-person sessions will take place at Karam Medyaf Hotel, Mecca.
   •    Sessions will be organized by discipline and topic.
   •    Each presentation should be no longer than 12 minutes.
   •    You may present in Turkish or English.
   •    Bring your PowerPoint on a USB; the hotel provides presentation computers.

🎯 SCOPE & TARGET PARTICIPANTS

All fields of science are welcome. Sessions are discipline- and topic-based, allowing scholars working on similar subjects to connect.

💰 FEES

1. Registration (Presentation Processing) Fee
   •    One paper: 3,400 TL
   •    Two papers: 3,900 TL
   •    Additional author (in-person): 1,500 TL
   •    Listener (no presentation): 1,500 TL

Includes: badge, PDF in ISBN proceedings, printed & PDF certificate.
   •    Payment should be made by the presenting author.
   •    No fee required for accompanying guests or non-presenting colleagues.
   •    Multiple presenting co-authors need to pay separate fees.

Payment Instructions
   •    Bank details will be provided on August 5.
   •    Important: Include only your Turkish ID number in the payment description—no other text—for invoice accuracy.

2. Travel & Accommodation Package
   •    Payable to the designated travel agency.
   •    We will share agency details after your registration fee is verified.
   •    Notify us once you complete the payment.
   •    Full package details are available in the PDF brochure (download link).
